This policy explains how QuoteFollow collects and handles information when you visit our website, apply for the pilot, contact support, or use the QuoteFollow app. A business using QuoteFollow decides which customer and quote information to enter and whom to contact. QuoteFollow processes that information to provide the service to that business.
Information we collect
- Website requests: Information you provide in a pilot application or support request, such as your name, work email, company, trade, estimate volume, message, and optional software or page context.
- Accounts and workspaces: Team member names and email addresses; business details; customer contact information; quotes, amounts, statuses, and outcomes; message templates and schedules; and follow-up consent or opt-out records.
- Messages and delivery records: Follow-up emails, relevant customer replies and team replies, sender and recipient addresses, subjects, message content, delivery status, and identifiers needed to keep a quote conversation together.
- Technical information: Sign-in and service activity needed to operate and secure the app. We use a one-way hash of an IP address to limit abuse of public forms.
Please do not put passwords or sensitive customer correspondence in a public pilot or support form.
Connected Gmail accounts
Connecting Gmail is optional and requires the mailbox owner to approve Google’s permission screen. QuoteFollow requests permission to send email on the owner’s behalf and to view Gmail messages and settings. The read permission is broad enough to access the mailbox, even though QuoteFollow’s feature is limited to quote conversations.
We use that access to send emails the team writes or schedules for approved quote follow-up, detect replies to known QuoteFollow conversations, and bring relevant incoming and Gmail Sent messages into the quote history. To find those messages, our systems may inspect newly received or sent message details and content. We do not add unrelated mailbox messages to QuoteFollow, mirror the whole mailbox, or intentionally download attachments.
For a connected mailbox, we store its Google-verified address, encrypted access credentials, connection and monitoring status, and the messages and identifiers that match tracked QuoteFollow conversations. Stored quote messages can be viewed by authorized members of the same business workspace. A teammate cannot connect or send from another teammate’s mailbox through QuoteFollow.
We do not sell Gmail data, use it for advertising, or use it to train general-purpose AI models. Our use and transfer of information received through Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. Our personnel do not routinely read Gmail content; access is limited to specific support requests with the user’s permission, security or abuse investigations, and legal obligations.
A mailbox owner can disconnect Gmail in QuoteFollow settings or revoke QuoteFollow’s access in their Google Account. Disconnecting removes QuoteFollow’s stored mailbox credentials and pauses follow-ups tied to that mailbox. It does not remove emails from Gmail or automatically erase messages already saved in the business’s QuoteFollow quote history. To request deletion of stored QuoteFollow data, use the contact below.
How we use information
We use website requests to respond to applications and support questions. We use workspace information to provide accounts, quotes, approved follow-up sending, reply handling, opt-out and delivery safeguards, conversation history, outcome reporting, and service support. We also use information needed to secure, troubleshoot, and improve these user-facing functions and to comply with applicable law.
Who can receive information
QuoteFollow uses service providers for hosting, authentication, database storage, and email delivery. Those currently include Vercel, Supabase, and Resend; they receive the information needed to perform their services. Google processes Gmail connection and delivery through its own services. QuoteFollow may also disclose information when required by law or to protect the service and its users. If a business transaction would transfer Gmail data, we would obtain the prior consent required by Google’s Limited Use rules. We do not sell personal information or share Gmail data with advertising platforms or data brokers.
Customer and quote conversations are available to authorized members of the business workspace that entered the information. Customer follow-up emails are delivered to the recipients the business selects. We do not make a connected mailbox’s unrelated messages available to the workspace.
Security and retention
We use access controls, encrypted storage for mailbox credentials, and secure connections to protect information. No online service can guarantee absolute security. Please contact us if you believe your QuoteFollow account or data has been compromised.
We retain workspace records, including relevant quote messages, while needed to provide the service and preserve the business’s conversation history. We retain website requests and technical records while needed to respond, operate and protect the service, or meet legal obligations. Disconnecting Gmail stops future access through that connection but does not delete stored quote records. When information is no longer needed, or after an eligible deletion request, we delete it or de-identify it, subject to legal and security needs and the normal expiration of backup copies.
Your choices and requests
You can ask to access, correct, or delete information associated with you or your business by emailing support@quotefollow.net. We may need to verify your identity and your authority over a workspace before acting. If you are a customer of a business using QuoteFollow, that business may also need to handle your request about its customer records. You can opt out of further automated follow-up by replying STOP to a QuoteFollow email or contacting the sending business.
We use cookies or similar storage needed for account sign-in and service operation. We do not use Gmail-derived information for advertising. QuoteFollow is intended for businesses and is not directed to children.
