Before you begin

Each teammate connects their own work Gmail or Google Workspace address. Signing in to QuoteForward with that address does not connect it for sending.

During the pilot, Google only lets approved accounts connect. Contact support with the Gmail address you plan to use, and we'll add it before you start. Google may then show a notice that the app is still being verified. That's expected during the pilot.

Connect Gmail

  1. Open Settings → Sending and choose Connect Gmail.
  2. Sign in to the Google account you want to send from.
  3. Allow QuoteForward to send email and to read your mail. Both are needed: sending delivers your follow-ups, and reading lets QuoteForward notice customer replies so follow-up stops.
  4. Back in QuoteForward, check the address shown under Verified mailbox. The first time you connect, QuoteForward also sends a confirmation email to that address.
  5. Choose Send through Gmail.
  6. To let scheduled follow-ups send on their own for quotes assigned to you, choose Enable assigned-quote automation.

What customers see

Follow-ups for quotes assigned to you go out from your Gmail address with your name, and they appear in your Gmail Sent folder. When a customer replies, the reply shows up in QuoteForward Inbox with the quote, and the remaining follow-ups stop. A reply you write directly in Gmail in the same conversation also appears on the quote.

QuoteForward only brings in messages from the quote conversations it is tracking. The rest of your mailbox stays out of QuoteForward. Teammates can see conversations on your workspace's quotes, but not your mailbox.

An owner or admin can enroll quotes assigned to you once your automation is on. Only you can send a manual email from your mailbox.

Reconnect Gmail

If Gmail access ends, Settings → Sending shows Reconnect Gmail, and follow-ups from your mailbox pause. This can happen when you change your Google password or remove QuoteForward's access in your Google account. During the pilot, Google also ends the connection about once a week, so expect to reconnect weekly for now.

Reconnect with the same address. Reconnecting restores access but does not restart paused quotes. Choose Review paused quotes and resume each one when you're ready.

Stop using Gmail

  • Stop sending through this mailbox keeps the connection but stops using it for follow-up.
  • Disconnect mailbox removes QuoteForward's access, and follow-ups from that mailbox pause. Messages already in your Gmail stay there, and quote conversations stay in QuoteForward.

If the connection doesn't finish

  • Mailbox access was not granted: the Google screen was cancelled. Start again from Settings → Sending.
  • The provider did not grant the needed mail permissions: allow both sending and reading on Google's screen.
  • The connection link expired: start again from Settings → Sending.
  • Google says access is blocked: your address isn't approved for the pilot yet. Contact support with the address.
